Educators: Getting Started with Auditor Access

Setting up access to your learners’ progress in Modern States takes four steps. This page walks you through them in order and points you to the detailed guide for each one.

This article is for educators, mentors, counselors, and school staff setting up auditor access for the first time.

 

How access works

Two things are true of every auditor account, and both surprise people who are used to school rosters:

  • Access is controlled by the learner. You will only ever see learners who have approved your request. Modern States cannot grant access on a learner’s behalf.
  • Two-factor authentication is required, not optional. Auditor accounts hold learner progress data, so 2FA is mandatory before any of that data will display.

 

Step 1: Create your account

Auditors begin with the same account type as learners. Create a Modern States account, then request auditor status. Once you are approved as an auditor, continue to step 2. See Modern States Journey: A Guide for Auditors for the full account setup walkthrough.

 

Step 2: Turn on two-factor authentication

Set this up before you request learners, so their data appears as soon as they approve you. You will need an authenticator app. See Two-Factor Authentication (2FA): A Guide for Educators.

 

Step 3: Request your learners

Send auditor requests by individual email address or by uploading a CSV of up to 100 addresses at once. Learners approve or decline from their own account. See How to Request an Auditee.

 

Tip: If a learner has not created their Modern States account yet, they will see your request the first time they log in. You may need to resend the request once they have signed up.

 

Step 4: View learner progress

Once learners have approved you, use the “My Students” widget on your homepage for a quick look at one learner, or open the Auditors Dashboard by clicking Analytics in the blue navigation bar for your full caseload and course-level detail. See My Students Widget and Auditors Dashboard.

 

Nothing is showing up

An empty view almost always comes down to one of these. Work through them in order:

  1. No learners have approved your request yet. Ask them to log in and approve it.
  2. Two-factor authentication is not enabled on your account. Complete step 2.
  3. You sent the request before the learner created an account. Resend it.
  4. The learner’s enrollment is not active in the current school year. Set Course Enrollment Status to “All” on the dashboard.
  5. The dashboard data has not refreshed yet. Data updates daily, not live — check the Data Last Updated timestamp.

What you cannot see

  • Any learner who has not approved your auditor request
  • Personal account information beyond what the learner approved for auditing
  • CLEP exam registrations, scores, or results — these are held by College Board, not Modern States
